Built for therapists who want to focus on clients, not software

PsyPlanner is practice management software for solo therapists and psychologists in private practice — designed around how therapists actually work, not how hospital administrators think they should.

What PsyPlanner is

PsyPlanner is a web-based practice management platform for therapists and psychologists in private practice. It brings client records, session notes, appointment scheduling, intake forms, and outcome tracking into a single workspace — so you are not switching between a calendar app, a notes document, and a separate intake tool.

Session documentation uses structured templates — SOAP, DAP, BIRP, and GIRP — with smart variables that auto-fill client name, session date, and session number. Clients book appointments through a shareable booking page, complete intake forms and assessments like PHQ-9 and GAD-7 before their first session, and receive automated reminders to reduce no-shows.

Outcome scores are tracked longitudinally in each client profile, with trend charts and clinical alerts when scores worsen significantly. Google Calendar two-way sync keeps your schedule consistent across tools. Everything runs on HIPAA-compliant infrastructure with a Business Associate Agreement available on request.

Who it's for

Solo therapists transitioning from paper or generic tools

You need one place for client records, session notes, and scheduling — without learning hospital-grade software.

Practitioners looking for a SimplePractice alternative

You want the core workflow tools at a lower price, without paying for billing and telehealth features you do not use.

Therapists who want outcome tracking built in

PHQ-9 and GAD-7 scores tracked over time with clinical alerts — not bolted on as separate forms.

Why we built it

Therapy practice software has a recurring problem: platforms built for clinics and insurance billing are sold to solo practitioners at prices that do not match how they work. Solo therapists end up paying for claims management, group telehealth, and billing modules they never open — while the features they actually need every day (notes, scheduling, intake, outcome tracking) are spread across separate tools.

We built PsyPlanner for a specific workflow: a therapist in private practice who sees clients, documents sessions, tracks outcomes, and manages scheduling without a billing department. The design goal was not maximum feature count — it was reducing the administrative surface area between seeing clients and going home on time.

That means intake forms embedded in booking so they are actually completed before session one. It means PHQ-9 and GAD-7 scores plotted over time, not buried in a PDF. It means a free plan while you build your caseload, and a paid plan that costs less than half what the major platforms charge for equivalent solo-practice workflows.

HIPAA & security

PsyPlanner runs on HIPAA-compliant infrastructure with AES-256 encryption at rest and TLS 1.2+ in transit. A Business Associate Agreement (BAA) is available on request. Client data is never sold, shared for advertising, or used to train third-party models. Read the full security and compliance documentation at Security & Compliance.
